Cascade Lumber’s partnership with DocuXplorer ensures its workflows are aligned with the business, keeps Accounting in control of vendor records, and reduces stress from manual cleanup, after-hours work, and audit preparation.

Cascade Lumber has spent nearly 20 years building a document process that fits the way the company works. In Accounting, this means every invoice must move cleanly from WoodPro to DocuXplorer, where it can be filed, found, and reviewed without creating extra work for the team.
For Nicolette Hauser, who handles accounts payable, that workflow is central to her day—and the difference between staying on top of the work and spending off-hours catching up.
“My job is to make sure vendors get paid. I deal with entering all the information in our Woodpro program and then have the invoices scanned into DocuXplorer,” she says. “We use DocuXplorer for everything that we do, every day.”
Before Cascade Lumber chose to invest in DocuXplorer’s AI automation features, Nicolette would manually enter the information in WoodPro, then ensure the documents were properly tagged and filed in DocuXplorer. “It took probably at least 6-8 hours a week,” she recalls.
That kind of repetitive entry is manageable in small doses, but it becomes a burden when invoice volume climbs, which was the case with Cascade Lumber as the company grew.
That lag made it hard for Nicolette to keep up with invoices and payment timelines. “Before, I’d be two or three days behind. And some invoices need to be paid within five days, so it would be really stressful.”
To help solve this problem and save the AP team time, DocuXplorer founder Ron Wyman created an integration to connect Cascade’s system to WoodPro. Still, Nicolette remembers, there were occasional cases that slipped through the cracks.
“If we had backorders that had the same PO number, it would only enter the information for the first order entered in our WoodPro program. So, every month, I would have to go through certain vendor folders to fix the information. This could take several hours, and I didn’t catch all the mistakes—which could cause problems when someone is looking for the documents.”
A longtime partner of DocuXplorer, Cascade Lumber reached a turning point in early 2025, when it added AI Capture to further streamline its AP workflow. Instead of relying on manual tagging or cleanup after the fact, the system now does nearly all of the filing work automatically. Nicolette still keeps an eye on the results, but the day-to-day burden has changed dramatically.
“Now everything is pretty much being entered as we get it, scanned in as we get it, then processed and filed correctly.”
Nicolette notes that, at first, trying to use the AI while it was training on the team’s documents was challenging. But taking the time to ensure the system was set up properly was well worth it.
“Once we got the AI trained, it works beautifully! It takes minutes a day instead of hours—which is great! I just go through the files a couple times a month to make sure I don’t need to [recalibrate] anything.”
Whereas with WoodPro’s integration, where she would have to fix errors daily, when the AI Capture makes a mistake, it’s much more rare, and the errors are easy to spot and remedy.
This shift makes a difference in Nicolette’s work by turning document filing from a painfully tedious cleanup task into a predictable process. When new patterns appear, Nicolette can train the system on them and let it adapt instead of creating a new manual workload.
The result is a setup that supports the business’s needs and needs minimal intervention.
"Once we got the AI trained, it works beautifully! It takes minutes a day instead of hours."
One of the clearest benefits of the new workflow is simple: Nicolette no longer has to take work home with her. The after-hours catch-up that used to come with natural business growth is gone, and that change has made a real difference in how manageable the work feels.
“I don’t have to come home and work extra hours in the evening. I can now finish everything in DocuXplorer within my regular working hours.”
That improvement is also reflected in the usage data from Cascade Lumber’s first year of AI Capture. The team processed 27,892 pages and saved nearly 930 hours of manual work, which amounts to $18,594.67 in labor savings.
In addition, the system saves more than 2 hours every day. For an accounting team handling high volumes of vendor paperwork, that’s the difference between constantly falling behind and maintaining steady control.

The benefits aren’t limited to internal efficiency. Cleaner filing also makes it easier to find what auditors request, which reduces stress during annual reviews. Nicolette explained that vendor invoices are one of the most common audit requests, and missing digital copies used to create unnecessary pressure.
“We are audited every year, and the auditor asks for vendor invoices. It’s very stressful when you can’t find a digital copy of a requested invoice because it was misfiled, and you have to go and find it in storage.”
That’s where the value of a working integration becomes especially visible. When documents are entered correctly from the start, Accounting spends less time fixing errors and more time relying on a record system that is built to support reviews.
Instead of searching through boxes or chasing down misfiled records, the team can trust that invoices are where they should be and ready when they’re needed. The improvement is noticeable not just for Accounting, but for anyone who needs access to documents.
“It makes a big difference because people need to access that information, and before I wouldn’t have it filed yet—or it would be misfiled and they couldn’t find it. Then I’d have to go track it down. Now people are really happy because they can go into DocuXplorer and find what they’re looking for, and it’s already filed.”
Cascade Lumber’s story is really about fit. The company didn’t just add automation for the sake of automation; it shaped DocuXplorer and AI Capture around a real accounting workflow with real constraints. The system now supports how Nicolette and her team work with WoodPro, invoices, and vendor folders, rather than forcing them into a process that adds extra steps.
That matters because the strongest document systems are the ones that preserve control without creating friction. At Cascade Lumber, DocuXplorer helps Accounting stay organized, keep documents searchable, and maintain confidence in the record set while removing the manual rework that used to consume hours each week. The result is a process that is faster, cleaner, and much easier to sustain.
