What are the hardware requirements?

DocuXplorer can normally be run using your existing network hardware. Workstations require Pentium machines with at least 128 MB RAM (512 MB Recommended).  You should also have an adequate backup system in place and you will need a scanner with an auto-document feeder for paper documents. Scanner speed will depend on your daily scanning needs.

Are documents stored in a proprietary format?

No, computer-generated documents are stored in their native format. Image documents are stored as standard TIFF files viewable on any Windows PC using the operating systems own imaging system. You can export or email a document from DocuXplorer and any user with a Windows PC and the documents source program can open, view and edit almost any document.

Can I scan documents as PDF or TIFF image documents?

You can scan documents as either PDF or TIFF image documents. DocuXplorer can also convert any printable document to PDF or merge multiple files into a single PDF document as well as convert document to be email attachments.

Does the software provide image compression?

Yes, DocuXplorer using state-of-the-art industry compression techniques on scanned documents. A page of black and white text using compression is usually about 25 - 50 KB, allowing you to store millions of documents on a single hard drive.

Can anyone view or edit DocuXplorer documents using Windows Explorer or any other file manager?

No, all documents are stored in the DocuXplorer database and cannot be viewed or edited outside the program. This  prevents anyone from accidentally or maliciously deleting or misplacing a document on a hard drive.

Can I control access to documents?

Yes, DocuXplorer uses a powerful security methodology for users and groups that allows an administrator to set user permissions based on the user login. Inactivity log-off further assures the confidentiality of your stored documents.

Can I create a logical document folder structure?

Yes, DocuXplorer's Library tree allows users to create Cabinets, Drawers and Folders just as they would in their real-world office environment.

What kind of documents can I store in DocuXplorer?

A document can be any computer-generated file or scanned in image. If the document is a computer-generated file (i.e. Word, Excel, PowerPoint, WAV, MPG, etc.) it will be opened to view and edit by its source program as long as you have the source program installed on that local workstation and is registered in the Windows Registry. An image file is viewed and annotated using the DocuXplorer image viewer.

Is there any limitation on the number of documents I can store?

No, each Drawer is a separate database holding up to 4 billion documents and you can create an unlimited number of Drawers. The only limitation is the amount of storage available in your computer system.

Is there any limitation on a document's physical size (i.e. pages, dimensions, etc.)?

No, we have clients who have stored documents with as many as 3000 pages in a single document.

Can I add user-defined index fields to create my own document profiles?

Yes, DocuXplorer 3 Pro allows you to create an unlimited number of Index Sets each with up to 33 user-defined fields.

Can I sort and group my documents?

Yes, you can sort and group the contents of a folder or query list using simple drag and drop. In addition you can add summary fields for sum, count, minimum, maximum and more.

Can I OCR my documents and search through the full text?

Yes, DocuXplorer provides you with built-in OCR. OCR a scanned in or image document and you can search the full text using the search engine. You can also index and search the full text of electronic documents (Word, Excel, CAD, etc.) as well as the OCR text.

Can I add additional pages to a an existing document?

Yes, you can either insert new scanned in pages or append them to the end of an image document. You can also break a document into multiple new documents or create a new documents from specific pages of an existing document while leaving the original document intact. You can also merge multiple documents into a  single PDF document.

Can I add comments or notes to be attached to a document?

Yes, you can use the Document Text Field for a document to add notes or comments. Notes or comments entered into a the Document Text Field will be searchable in a full text search.

Can I link a document to a web page or other document?

Yes, you can add a hyperlink index field to an Index Set or a hypertext annotation to an image document that will automatically bring up either a web site URL or a file on any network or local drive.

Can I add annotations to an image document?

Yes, DocuXplorer comes with a full set of annotation tools including highlighter, redaction, hyperlink, rubber stamp and more.

Does DocuXplorer support all Windows platforms?

DocuXplorer supports Windows 2000 or later.

Can more then one user search for and view a document at the same time?

No, DocuXplorer Pro is a single user version with features including security, unlimited Cabinet and Index Sets and is designed for office with a single user on a single computer.

Does the program provide document security

Yes, you can set security rights based on user login for any object in Docuxplorer right down to a field. DocuXplorer also allows you to customize permissions for a user or group for every function of the program including the ability to make objects (Cabinets, Drawer, Folders, Documents, or Fields) invisible to users based on login.   DocuXplorer Security is a key element in complying with HIPAA and SEC regulations.

Does DocuXplorer have a document audit trail?

 Yes, the Document Event Log records a document's events, view, modify, email, print, copy, move, and more to display as a sort able list associated with each document. DocuXplorer goes even further by providing a Library Event Log that administrators can use to determine work that has been done during a time or other useful information.

Does the program allow for version control?

Yes, you can set versioning as either a default or on a document by document basis. Document versions are tracked by time and date of modification and author.

Can a user check-out a document for editing and notify other users who request that document that it is unavailable?

Yes, using the check-in/check-out feature of the program users can check out a document. When another user requests that document a dialogue box comes up with a note from the user who has checked the document out. When a document is checked out it can be viewed but not edited until it is checked in by the editor.

Does the program provide an easy method of backing up data?

Yes, simply add the DXDOCS folder on your network drive to your daily backup routine. If you choose to create Cabinets in locations other then the DXDOCS folder simply add those locations as well.

Can I archive my data to CD-R or DVD?

Yes, you can archive a Cabinet with all its documents and index data to either CD or DVD.

Can I export document index data and use it to create reports?

Yes, DocuXplorer provides you with the ability to export a folder contents or query list to either and Excel spreadsheet or HTML. The exported data then appears completely formatted, ready for printing.
