Columbus State Community College,
an educational institution in Columbus, Ohio that has been using Archive
Power and DocuXplorer software since September, 2000.
Scope:
The implementation of a document management system to store and access
blueprints for the facility operations department.
Benefit:
The time to retrieve blueprints for building services has been reduced to
seconds resulting in greatly reduced costs of labor. The people working in
the department found the software very easy to use and valuable. They have
increased the scope to include the storage of all their documents, e-mails
and faxes. The ability to store any type of document has resulted in
saving the space and costs of two complete lateral file cabinets during
the first few months of operation. Costs were also significantly reduced
for document distribution and office supplies.
“CSCC has benefited more than
expected from using DocuXplorer. As a non-profit, educational
institution, it is critical that we are constantly implementing
cost-cutting procedures and DocuXplorer has helped us do just that.”
- Ann Miller, IT
coordinator of facilities at Columbus State Community College
Brecher, Fishman et. al., the
largest personal injury law firm in New York State. The firm has seven
offices across the state connected by a wide area network.
They have been using DocuXplorer since February, 2000.
Scope:
Brecher, Fishman purchased DocuXplorer to archive closed case
paperwork to reduce the space needed to store paper documents generated by
this large law firm that will close thousands of cases each year with
hundreds or thousands of pages of documents per case.
Benefit:
The immediate benefit was to significantly reduce the amount of space
needed to store all the paper documents from closed cases; a benefit
quickly achieved. In a very short time it was decided to add scope to the
use of DocuXplorer not just for archival purposes but also to manage
documents on live cases, rejected cases, settlements, medical reports,
employee records, and accounting documents. In the near future DocuXplorer
will be used to store and distribute all case documentation and incoming
mail for all Brecher, Fischman attorneys, clerical and support personnel.
“We chose DocuXplorer because it was
easier to use than any of its far more expensive competitors. As we
implemented the system, we found that we could save a lot of time and
money by using the program to manage and distribute more and more of our
documents, instead of physically transferring files from one office to
the other. Best of all, we no longer have to worry about losing
documents during the physical transfer. We have plans to continue
expanding our use of DocuXplorer as an integral part of our business
process.”
- David Barbera,
senior IT director of Brecher, Fishman
The Burgiss Group,
a software and services company developing pension fund investment
tracking systems. Located in Hoboken, New Jersey, they have been using
Archive Power and DocuXplorer since December, 1999.
Scope:
Recognizing that all their pension fund management clients were required
by law to archive fund investment documents, Burgiss proposed that they
store all the documents electronically as a service for their subscribers.
Using DocuXplorer they scanned in and archived investment disclosure
documents such as quarterly financial statements to provide a unified
archive of those documents relevant to all their clients. A client could
then request a document which they would receive via e-mail.
Benefit:
The initial benefits for Burgiss had been faster access to the documents,
providing clients with added services and saving the space of more then ten
complete file cabinets a year. The scope has since been increased as work
is in progress to provide Burgiss clients with secure direct access to the
DocuXplorer stored documents via a browser interface over the web .
“We had been drowning in paper and DocuXplorer helped us save a great
deal of space. Even more valuable than that is the savings in
man-hours. With instant access to the documents and the ability to
e-mail or fax documents directly to the client from DocuXplorer, we are
providing better service to our clients at a lower cost – a win-win for
everyone.”
- Marjorie Laue,
archive administrator for The Burgiss Group
Healthcare Management Inc., a
Massachusetts company, manages office functions for multiple medical
practices and has been using DocuXplorer software since September, 1999.
Scope:
This client purchased a single user of DocuXplorer to archive,
manage and access the Explanations of Benefits Forms provided by insurance
companies to their client medical practices.
Benefit:
The benefit provided by DocuXplorer has been significant, as the program
was implemented the company recognized that many other types of documents
could be managed, stored, and accessed adding benefit beyond the original
scope. Added to the DocuXplorer document library were doctor’s daily
notes, contracts with insurance companies, accounts payable documents,
doctor’s contracts with medical practices and hospitals, company daily
reports and written referrals; copies of which are often requested by
insurance companies and could now be faxed directly to the requestor from
a
DocuXplorer folder. In addition newsletters received from insurance
companies were added to the Library to be accessed by everyone involved
without the need of making copies and hand distribution of those copies.
The client has consistently added licensed users as additional benefits
were recognized with more users expected to be added early 2002.
The company saves the physical space of storing
approximately 4000 documents per month with that number expected to
continue grow rapidly. Document capture and
indexing is simple and fast and the speed to access the stored documents
has been greatly reduced, along with costs for document distribution,
printing, office supplies and manpower. Its speed of growth has requires Healthcare Management
to add a steady flow of new workers all needing to
work with the documents stored in DocuXplorer. Training these new workers
in the use of DocuXplorer has proved to be especially easy, allowing
workers to be up-to-speed and productive to the company almost
immediately.
“As our company has grown, DocuXplorer
has become a major element of our productivity. We have been able to
save a tremendous amount of time and money in storage, man-hours,
printing, office supplies – just about in every area of operations – due
to the power and ease-of-use of this document management system.”
- John Bogacz,
president of Healthcare Management Inc.

valuable and easy it was to use for their initial purpose Lady's upgraded
again to a multi-user DocuXplorer Pro system. Lady's Funeral Home
